Manage files and accept or reject requests to bid with AASHTOWare Project Bids software.

Upload AASHTOWare Project Bid Files

Add proposal files to your letting or create a letting as you upload proposal files on the Upload AASHTOWare Project Bid Files page. You can add proposal files at various times when creating the letting. You can also load amendment files and postponements.

Manage Agency Keys

Your Agency Key is your Digital ID. From the Manage Agency Keys page, you can manage the agency keys used to decrypt lettings in the Open Bids utility. Bidx Agency Keys are also used for EBSX file generation.

Upload LOAD Configuration File

This is where you can upload the LOAD.xml file used for bid download reports after a letting has closed on Bidx. Click Browse to find the file in your local storage, select it and then click Upload.

The load configuration file (load.cfg or load.xml) is used to convert the bid files submitted by contractors into the appropriate format to use with the Bid Express service.

The information in this file is used to generate most of the reporting used in post letting activities. The load.cfg file is created by the Bid Express service and is part of the implementation process.

To upload the LOAD file to Bidx.com

1. In the AASHTOWare Project Bids section, click Upload LOAD Configuration File.
2. Select the Browse option and choose the appropriate .xml file.
3. Click Upload.

Be sure to check your bid opening reports after this file is uploaded to ensure it matches your specifications.

To save a version of the current LOAD file from Bidx.com

1. Log in as an Agency Admin for your desired site (demo or production).
2. Click Agency Admin to navigate to the Manage Agency page.
3. In the AASHTOWare Project Bids section, click Upload LOAD Configuration File.  
4. Click the blue link under the words “A configuration file was successfully uploaded on  <last upload date>.”  You will see a window with the contents of the current load.xml file.
   • If no load.xml file has been uploaded to Bidx, that line will not have the blue link.
5. Open the Notepad application on your computer.
6. In the window with the current load.xml file, highlight all the contents, copy them to your clipboard, and then paste into your open note in the Notepad application.
7. In the File menu of your Notepad application, click Save and name the file load_<agency><site>.xml

Note | The file contents can be viewed on Bidx.com to quickly check the format of the file, but cannot be edited in that view. Currently, there is no way to download the file directly.

Manage Bidders

Agencies can approve, deny, or put on hold any requests to bid from contractors from the Manage AASHTOWare Project Bids Bidders page. Here you can view all pending and processed requests. Once you click into a pending request, you can choose to accept, reject, or put the request on hold.

Note | For all Approved, Rejected, or On Hold requests, the Status Set By column shows the email of the user who processed the request.
